Waiting on you

What you do instead of ringing at eight: check what is waiting on an answer from you. The proposed appointment lapses on Monday at 12:00 PM — after that the slot goes to somebody else.

Northgate Practice is a sample app by Awelior. Invented business, invented data, nothing is stored.

About this app

Northgate Dental Practice does not exist. Appointments, names, requests, numbers and documents on these screens are invented and describe no real case.

The demo stores nothing, sends nothing and fetches nothing. Buttons and input fields are fully labeled but have no effect.

It deliberately shows no findings, no diagnoses and no medication. Health data is among the most strongly protected categories there is — and what an app never displays, it can never lose.

Request a repeat

Sample data

Repeat prescription being processed

Requested on 13 Aug at 7:22 PM. Requests are checked on weekdays until 4:00 PM; it should be ready to collect from Thursday at 2:00 PM — prescriptions are never posted.

Where the request stands

Every step comes from the practice. A dentist looks at the approval — nothing here happens automatically.

  1. Request receiveddone13 Aug, 7:22 PMSubmitted through the app: repeat of an existing ongoing prescription.
  2. Reception has checked itdone14 Aug, 8:10 AMPersonal details match. There is no current insurance on file — hence the query under messages.
  3. Awaiting approvalin progresstoday, since 9:30 AMOn the desk for review. Any query comes back as a message in the app, not as a phone call at six in the evening.
  4. Ready to collect at receptionstill openexpected Thu from 2:00 PMYou get a notice as soon as it is ready. A prescription is never posted or emailed.
  5. Collectedstill openstill openAfter that this line carries the collection date. Nothing more — what is written on the prescription is not written in the app.

Make a new request

Four entries, and the desk needs no more. A first prescription only follows an appointment — no form covers that.

What is deliberately not here

This app carries no findings, no diagnoses and no medication list. Not because it would be hard to build, but because health data is protected more strictly than almost anything else: what gets loaded onto a phone then lives on a phone — on a train, in a lost property office, quite possibly in somebody else's hands.

So the only things released are the ones you are meant to hold anyway: a certificate, a cost plan, an invoice. Each one is released individually and with a deadline, and every release is logged at the practice.

Opened documents are not kept on the device. The app will not open without a screen lock, and it signs you out after 15 minutes of inactivity. Everything else — results, questions, decisions — belongs in a conversation and not in a list.

When something is missing

Four views a website never needs — and the first thing forgotten in an app.

  • Loading

    Loading documents

The frame of the list is there immediately and fills in once the practice answers. An empty screen with a spinner looks as if nothing happened at all.

  • Nothing there

    Nothing released at the moment

That is an answer, not a fault: documents are released one at a time, and right now there is nothing pending.

  • Failed

    Documents not reachable

The request failed. The list stays put and the document is not opened — in doubt the app would rather show nothing than the wrong thing.

  • No connection

    No connection

Appointments and the message thread stay readable because they live on the device. Documents do not: they are fetched afresh every time and therefore never end up in local storage.

No effect in this demo — nothing is stored.

The project frame

How Awelior would approach this project

Northgate Dental Practice, Boise is invented — the way it is built is not. None of this is work delivered for a client. It is the shape we would give such a project — with the same depth, but without a client who would have to answer for it.

Where it starts

At Northgate Dental Practice everything runs through the phone on reception: moving an appointment, a repeat prescription, a question about an invoice. At eight the line is engaged, and whoever gets through interrupts somebody who has a patient in the chair. The share of those calls that needs no clinical judgement at all is the larger one.

Decisions

  • A proposal is not yet an appointment

The practice offers a slot and holds it until a deadline. A freely bookable calendar would undercut treatment planning — which chair, how long, which assistant — and would be a promise nobody in the practice would back.

  • Documents never rest on the device

Every document is fetched afresh when it is opened. Without a screen lock the app will not open at all, and after fifteen idle minutes it signs out. A treatment plan sitting in device storage sits on a train, in a lost property office and, at worst, with somebody else.

  • On failure the app would rather show nothing

If the request fails, the list stays as it was and the document stays closed. With papers from a medical practice, half-loaded or out-of-date content is worse than an error message.

Deliberately left outNo findings, no diagnoses, no medication list — and no free-text box for symptoms. What an app never displays it cannot lose; and if something hurts, a phone call is the faster route and a form is the wrong one.

Navigation responds, including the route from the overview into the documents and back. The appointment reply, the prescription form and the message box are fully rendered and inert; the four states have a view of their own.

How it would go on

  • Connection to the practice management system

Appointments, requests and invoices live there. Two calendars side by side are worse than one — and this connection decides the cost and the feasibility of the whole undertaking.

  • Who is at the other end

The account has to belong to the patient and not to a handset. How it is issued, what applies for children and for people under guardianship, and how it is withdrawn again, belongs at the start.

  • Responsibility for the data

Record of processing activities, a processing agreement with the supplier, deletion periods — and the question of what the practice does when a patient loses her phone.
