Check-in OL-SK 472

The walk-round before the car may go inside: seven points ticked off, four fixed angles photographed. What is not in the protocol now cannot be settled at collection.

Fenwick Check-in is a sample app by Awelior. Invented business, invented data, nothing is stored.

About this app

Fenwick Motor Works does not exist. Registration numbers, vehicle identification numbers, customer names, jobs and amounts on these screens are invented and describe no real event.

The demo stores nothing, sends no message and obtains no authorization. Buttons, fields and checkboxes are fully labeled but have no effect.

The job sheet says $800.00 incl. tax. Beyond that the workshop must not carry on, not even “while it is up there anyway”. It needs fresh authorization from the owner.

Where the authorization stands

Without this trail it is one person's word against another's. With it, there is a time on the record.

  1. Limit agreed at check-indone7:44 AM$800.00 incl. tax, signed on the job sheet. Above that the workshop calls instead of carrying on.
  2. Estimate drawn updone9:25 AMAfter the inspection on the ramp: $1,275.14 incl. tax, three items necessary, one advisory.
  3. Authorization requestedin progress9:31 AMLink sent by text to the number on file. The link lists the items separately and expires after 48 hours.
  4. Answer from the ownerstill openstill openShe can deselect individual items. The brakes are advisory rather than necessary, and the link says so.
  5. Order parts and schedule the workstill openstill openThe wishbone can be ordered until 11:00 AM for same-day delivery. After that it becomes Monday.

The thread belongs to the job, not to one person's work phone. Whoever opens the job sees it — through holidays and shift changes.

  1. YouGood morning Ms Kirkham. There was more to see on the ramp than expected: the front left wishbone is worn out, and that is what is causing the knocking. The estimate is in the link.today, 9:31 AMread
  2. Barbara KirkhamBarbara Kirkham$1,275 is a lot more than we talked about. Do the brakes really have to be done now? The car is due for its test in March.today, 10:06 AM
  3. YouNot necessarily. There is 3.1 mm of pad left against a 3.0 mm limit — at your mileage that is roughly another four months. Without the brakes it comes to $788.94 incl. tax, which keeps us inside your limit.today, 10:14 AMread
  4. Barbara KirkhamBarbara KirkhamThen just the front axle and the alignment, please. I will have the brakes done before the test. The scratch at the back right was there before, by the way.today, 10:52 AM
  5. YouNoted, and the scratch has been on our file since February — the photo is attached to the job. Please confirm the authorization through the link as well.today, 10:58 AMwaiting for signal

Record an authorization given by phone

When the answer comes by phone it is written down here — with time, scope and figure. An authorization without a figure is not one.

Only the person named on the job sheet can authorize work.

Device time, not editable afterwards.

Scope
Items 1, 2 and 4

Item 3 is the brakes — advisory rather than necessary.

In dollars incl. tax. Anything above means asking again.

What is written here goes to the customer with the invoice.

This form submits nothing.

The four states

Signal is thin inside a steel workshop and check-in carries on regardless. That is why these four views are not left to whoever writes the screen.

  • Loading

    Loading jobs

On opening in the morning the list of spaces is there as a frame and fills in once the answer arrives.

  • Nothing there

    No vehicle booked in

Before 7:00 AM the forecourt is empty, and that is not a fault. The screen says so and offers check-in instead of staying blank.

  • Failed

    Authorization link expired

After 48 hours the link lapses. The estimate stands, the authorization is requested again — silence never counts as a yes.

  • No connection

    No signal in the workshop

Photos, protocols and readings carry on being captured on the device. Only the authorization link waits until there is signal again.

Replaces
Replaces the carbon-copy check-in sheet, the camera in the desk drawer and the phone call “it will cost more, is that alright?” that nobody can later prove. The authorization above $800.00 sits on the job with a time, a scope and a ceiling before anyone turns a key — and the existing damage to the rear bumper is photographed before the car goes inside.

Everything in this demo is laid out and none of it acts: buttons only report that they have no effect in the demo, checkboxes are fixed, input fields lead nowhere. Nothing is stored, sent or fetched.

The project frame

How Awelior would approach this project

Fenwick Motor Works, Ludlow is invented — the way it is built is not. None of this is work delivered for a client. It is the shape we would give such a project — with the same depth, but without a client who would have to answer for it.

Where it starts

At Fenwick Motor Works what a job costs is decided on the ramp, and it is usually more than was discussed at check-in. The service adviser rings, the customer says yes, and nobody records when, covering what, and up to what amount. At collection it is then one account against another, and the garage gives way because it has nothing in hand.

Decisions

  • An authorization without an amount is not one

When the go-ahead comes by phone it is recorded with time, scope and ceiling; the time is the device's and cannot be edited afterwards. That is the point at which a repair order either holds or does not.

  • Nothing is done above the agreed ceiling

Not even “while we're in there”. The app shows the excess as an amount of its own and offers, as a second route, quoting only the unavoidable items — instead of turning the ceiling into a suggestion.

  • An expired link is not consent

After 48 hours the authorization request lapses. The estimate stands and the question is asked again. Treating silence as agreement would be the most convenient rule in the whole project and the most expensive.

Deliberately left outNo payment and no invoicing in the app. The outstanding amount is shown when the keys are handed over; money is taken at the counter — a payment flow brings a till system, a certified security module and receipt obligations with it, and that is a project of its own.

Navigation responds, including the route from the check-in list into a single vehicle and back. The handover checklist, the estimate, the authorization flow and the form for a telephone authorization are fully rendered and inert; the four states have a view of their own.

How it would go on

  • Connection to the job system and parts catalog

Labor times from the manufacturer's schedule, parts prices from the store, order and invoice in the main system. An estimate somebody maintains twice stops being maintained after a fortnight.

  • The route to the customer

Authorization link, message, reminder — and what happens when somebody has no smartphone. A repair must not fail because one channel is missing.

  • Photographs and retention

The walk-around produces, at every check-in, pictures documenting the condition of somebody else's car. Resolution, storage, deletion period and who may see them belong settled before launch.
